How to attend the conference

How to fully appreciate the online MED2021
  • Download Zoom and install it on your device (www.zoom.com).
  • Familiarize yourself with the Zoom virtual meeting platform. For the best experience, sign up for a Zoom account and practice accessing a meeting, sharing your screen, etc.
Virtual Conference Hall

The Virtual Conference Hall is accessible via the link reported below. Once entered the Virtual Conference Hall select the room of the session you wish to attend. Use the username and password received by email to enter the selected session.

Instructions for Participants

To attend a session, access the online conference program at:

https://controls.papercept.net/conferences/conferences/MED21/program/

then note the name of the room and the day/time of the session you wish to attend.
On the scheduled start time of the session, access to the Zoom virtual room dedicated to the session through the Virtual Conference Hall linked above.

Instructions for Presenters

Please prepare your presentation the usual way using MS Power Point software or similar, keeping videos and animations to a minimum to avoid lag and connection issues. The presentations must be performed live. No pre-recorded videos.

Papers’ presentation: the time allotted for presentations is 15 minutes, 5 minutes more will be available for Q&A. In case of no-show of the author the paper will not be published in the conference proceedings. 

Workshop talks: presenters are invited to connect with their workshop organizers for instructions on the presentation duration. 

On the day of the session, access the proper session room 15 minutes in advance prior to the scheduled start time, through the Virtual Conference Hall linked above, and introduce yourself to the session Chair and Co-chair.

Note — if you are too early, you may enter the Zoom meeting for a session that has not ended, so please access your session Zoom link at the appropriate time.  

You will be enabled to turn on you microphone and share your screen by the technical assistant. 

IMPORTANT NOTE: you are requested to strictly accomplish the time schedule of the conference. 

Instructions for Chairs and Co-Chairs

1. 15min before the session:

  • access the Zoom virtual room dedicated to your session through the link available in the Virtual Conference Hall linked above.
    Note — if you are too early, you may enter the Zoom meeting for a session that has not ended, so please access your session Zoom link at the appropriate time.
  • check that the speakers of the presentations are present and make sure that there are no technical issues.
    Note — that a dedicated technical assistant will support you for the whole session duration.
  • type the name of all the speakers of the presentations in the chat of the Zoom virtual room, so that the technical assistant can ahead of time enable them as Zoom presenters. 

2. Beginning of the session:

  • greet the audience, and then introduce the session, as you typically would do as a session chair.
  • Ask the audience to turn off their camera and mute their microphones.

3. First presentation:

  • Invite the first presenter to turn the camera on and share the screen until the end of presentation.
  • There will be five minutes for questions and discussion, which you can moderate, via the chat and/or with audience members unmuting themselves.
  • When it is time for the next talk to start, end the question period and introduce the next presenter.
    Note — If the discussions end before the allotted time, the participants should wait in order to start the next presentation accordingly with the time indicated in the program.

4. Other presentations:

  • The  discussions of all presentations follow in the same way according to the program.

5. End of the session:

  • after dismissing the audience, communicate to the Organizing Committee (mail to: med2021@poliba.it)  the list of eventual absent presenters (no-shows).
    Note — The technical assistant shall close the virtual room 5 minutes after the end of the session.
